Project Coordinator reports to the Principal Assessment Manager, CARD
This individual works both independently and collaboratively with members of CARD and ACTFL to support existing and new initiatives.
Position Description: This position is a member of CARD’s assessment program and is an integral part of the ACTFL team. The Project Coordinator assists CARD’s Principal Assessment Manager by coordinating logistics for test development and maintenance projects. ACTFL assessments with which the coordinator will primarily work include the ACTFL Assessment of Performance toward Proficiency in Language Learning (AAPPL), ACTFL Latin Interpretive Reading Assessment (ALIRA), Oral Proficiency Interview- Computer, the Writing Proficiency Test, and the K12 Writing Proficiency Test. This position may also coordinate item review activities for ACTFL Listening & Reading assessments.
Responsibilities: Responsibilities of the position include but are not limited to:
Test Development Support: Coordinate assessment development logistics, communications, and timelines
Collaborate with ACTFL staff and consultants on test development timelines and consultant staffing requirements
Co-plan and schedule test development, review, and recording sessions; including organizing all logistics
Recruit target language subject matter experts, actors from multiple languages (AAPPL), multimedia talent, etc.
Coordinate the process for inputting manager-approved items into the test development system
Coordinate and communicate with internal staff and external project consultants to manage project completion
Project Management: Employ a sound project management approach while assisting with the development of new projects, trainings and other initiatives
Co-develop project plans, budgets, timelines, documents, materials, etc.
Organize project logistics and oversee project work sessions
Monitor and report project statuses, create project reports, track expenses
Facilitate data-driven decision making through meticulous collection of project records
Administration: Assist with general administrative support for CARD concerning recording-keeping, mailings, shipments, basic technology troubleshooting, and supplies
Test Development: Maintain detailed test development records; analyze and report statuses; facilitate the manager’s ability to make data-driven decisions
Finance Management: Receive, verify and process consultant invoices in accordance with established budgetary parameters.
Professionalism: Demonstrate good judgment, professionalism, sound application of subject matter expertise; responsiveness in support of the ACTFL mission.
Communication & Collaboration: Effectively communicates with participants of the test development process; disseminate information to all necessary parties to ensure effective stakeholder participation.
Collaborate across ACTFL departments and with LTI staff to enhance the quality of offerings.
Participate in the annual ACTFL Convention either on-site or from ACTFL HQ
Participate in additional assignments as needed
Qualifications, Skills, Abilities, & Experience
Bachelor’s degree and three years of relevant experience required
Language learning experience required; proficiency in one or more world languages preferred
Project management skills required, PMP certification a plus
Strong organization, planning and time management skills required
Microsoft Office Suite- highly proficient in Word, Excel and Power Point; comfort administering an online Learning/Content Management System (e.g. Schoology); Ease learning new technology (e.g. Learnosity)
Must represent projects positively in person, by phone, and via written communication; effective communication skills a must
Ability to work collaboratively, cooperatively and collegially in a results-oriented environment
Ability to comfortably organize and facilitate virtual meetings
Excellent writing, proofreading, editing, and public speaking skills
